AI FOR DAILY BUSINESS TASKS

AI that prepares work in your existing systems

Repeated copying between tools leaves less time to deal with the customer. We connect AI to your existing systems so it can read a request, prepare a reply and pass the next step to the right person. You decide what runs automatically and what needs approval, and staff can review the action record.

Example: from email to order

  1. Customer email
  2. AI drafts the order
  3. Your team reviews and approves

Less retyping. Your team still approves every order.

What you get

These are possible parts of a full project. The audit identifies what you need, a separately priced pilot checks the value, and you decide on implementation after seeing the results. See what each stage includes.

  • Less copying between systems

Agreed tasks such as sorting emails and preparing records are connected, reducing copying between screens.

  • Approval before important actions

Payments, outgoing emails and important record changes wait for a person’s confirmation.

  • Clear answers when something goes wrong

Inputs, actions, results and costs are recorded, helping your team investigate mistakes.

  • A person handles the exceptions

If the tool cannot finish or is unsure, it sends the work to staff instead of silently leaving it incomplete.

What we can set up

We agree which of these tasks your project needs before quoting the work.

  • Choose the steps to automate

Review how staff do the work today and identify which steps should remain with a person.

  • Connect existing tools

Connect email, customer records, support tools and databases using only the access required for the task.

  • Make approval easy

Provide editable drafts, approval lists and rules for passing difficult cases to the right person.

  • Limit what AI can do

Allow only agreed actions, check incoming data and set spending and usage limits.

  • Track completed and failed work

Give staff a view of actions, errors, running costs and cases awaiting review.

  • Retest before changes go live

Run saved examples through each new version to check that previously working tasks still work.

Where this could make a difference

Possible applications, not completed client projects or promised results.

  • Handle an incoming customer email

Sort the request, prepare a reply and create a support ticket. A person approves any message sent to the customer.

  • Check invoices against orders

Compare invoices with purchase orders and goods receipts. Explain mismatches for finance staff to resolve.

  • Set up an approved account

Carry out agreed setup steps across internal tools from one approved request, recording what changed.

How a project runs

We agree the task, test it with your staff and review the results before putting it into daily use.

Audit, pilot and full build
  1. Step 1: Follow the current task

Document the steps, tools, decisions and common problems with the staff who do the work.

  2. Step 2: Agree approval rules

Decide what may happen automatically, what needs a person’s approval and what must never happen.

  3. Step 3: Build and test real cases

Connect the tools and try recorded examples, including incomplete requests and system failures.

  4. Step 4: Start with suggestions

Staff review proposed actions first. Any later increase in automatic actions needs agreement and test evidence.

What to check before starting

  • Irreversible or high-impact actions require human approval.
  • Some tasks only need fixed rules and a simple script. We recommend that option when it is sufficient.
Technical details for your IT team

Tools are chosen for your existing systems and project requirements. You do not need to choose these before discussing the business task.

  • Python
  • REST APIs
  • Docker
  • Monitoring · metrics, logs, alerts
  • Tracing · e.g. OpenTelemetry-compatibleoptional
  • Task queues · for long-running or scheduled workoptional

Common questions

How do we keep control of what AI does?

You agree the permitted actions, access and spending limits. Important actions require approval. Information in customer emails or documents cannot change these permissions. Staff can review the action record and handle failed tasks.

Can you connect our current software?

We check whether each system provides a supported connection, such as an API (a way for software to exchange data). We confirm access and limitations before including a connection in the project scope.

What if the AI provider changes its service?

We keep the business steps separate from the AI provider connection and retain tests of your real tasks. A replacement can then be checked before the service is switched.

Check the results before staff rely on AI

  1. Choose real work examples
  2. Check AI results against correct answers
  3. Your team decides whether to launch

Find incorrect answers and missing information during testing, before the tool enters daily use.

CHECK THE BUSINESS CASE

Will this save your team enough work?

We agree how to measure time spent, errors and running costs. The pilot gives you evidence for the decision about a full build.
