OPTIONAL MONTHLY SUPPORT
VistulaCode maintains the agreed tool.
- AI, software & hosting allowance $150/month × 12
- $1,800
- Support at the starting price $1,000/month × 12
- $12,000
Running-cost example: $1,150/month
PLAN THE INVESTMENT
See an example project budget, the first 12 months of use and what each stage delivers. The audit helps you assess the opportunity; you decide separately whether to invest in a pilot and implementation.
AI AT WORKA clear outcome at every stage
Each stage gives you evidence for the next decision. Audit, pilot and implementation are separate purchases.
PLAN THE FULL INVESTMENT
Example: turn emailed orders into drafts your team can check. Use these ranges to check whether the project could fit your budget before you contact us.
Identify the opportunity, check the data and get a pilot plan with a price.
Test agreed order examples and measure time spent, corrections and cases that still need manual work.
Put the approved tool into daily use with agreed system connections, launch checks and staff training.
These ranges help you plan for this example; your project receives its own written quote before each stage. Audit and pilot fees are not automatically deducted from implementation fees. All amounts are in USD, net of VAT.
WHAT THIS EXAMPLE COVERS
WHAT CHANGES THE PRICE
PLAN BEYOND LAUNCH
Project fees + the first 12 months after launch. Both options include the $10,750–$16,250 project above. This covers 12 full months of use, rather than the calendar year from kickoff.
Same order-entry project as above. The $150/month allowance for AI, software and hosting is an illustrative assumption, not a provider quote. Actual technology costs depend on usage. Support uses the starting price of $1,000/month; a wider agreed scope may increase that fee.
Without Monthly Support, you still pay for the required licences and arrange monitoring, maintenance and fixes. All amounts are USD net. VAT and your team’s time are extra. The no-support total also excludes the cost of your own maintenance or another provider. This is a planning example, not a quote, a maximum price, a savings forecast or a client result.
WHAT EACH STAGE GIVES YOU
The audit helps you choose where to invest. The pilot measures the benefit. Implementation gives your team a tested tool for daily use. You approve and buy each stage separately.
01 / Where would a change make the biggest difference?
Get a recommendation on what to improve, what it could cost and how to test the benefit before implementation.
Use the report to decide whether a pilot is worth the investment. If the likely benefit is too small, we may recommend stopping.
Not included: The audit does not include building software or connecting it to your systems.
Discuss an audit02 / Does the value hold up in practice?
Find out how much work the tool saves and how often it needs correcting. This is a paid test of one task using your data. The example price covers preparing customer order drafts.
Compare the results with your current process. You can stop after the pilot or approve a separate implementation project.
Not included: The pilot covers testing. Connecting the approved tool for daily use and ongoing support are separate purchases.
Discuss a pilot03 / How do we move from testing to daily use?
Give your team the tested tool, agreed system connections and instructions. Know what runs automatically and which decisions stay with your staff.
Your team checks that the solution meets the agreed requirements before accepting it. Monthly Support is optional and bought separately.
Not included: Audit and pilot fees are separate from implementation. AI usage, software subscriptions, hosting and Monthly Support cost extra.
Discuss implementation and trainingEach stage has a separate written price. EUR or GBP proposals can be agreed individually.
AFTER HANDOVER
Choose who will maintain it before launch. Monthly Support is optional; the handover, accounts and responsibilities are agreed either way.
If something goes wrong. If a draft is wrong or the tool stops, your team follows the agreed instructions and returns to the manual process when needed. The named maintainer investigates before the affected task resumes.
Your project agreement states how issues with the delivered work are handled. These terms are separate from ongoing maintenance and optional Monthly Support.
ESTIMATE TIME AND COSTS
Choose an example and enter your numbers to estimate time saved and its value after running costs. A paid pilot checks whether the tool actually reduces the work, including review and corrections.
These are editable example numbers, not client results or a price quote. Use your full project cost, including your team’s time.
AI reads products and quantities from order emails and PDFs. Your team checks the draft before it enters your order system, reducing manual typing.
The number of orders, product records or enquiries your team handles.
Wages plus employer costs for one hour of staff time.
Average staff time per item, including corrections.
Staff time still needed to check, correct and handle cases AI cannot complete.
Include support, AI usage, software subscriptions, hosting and time spent managing the solution.
Include the audit, paid test, setup and the cost of your team’s time during the project.
Enter all costs in USD, excluding VAT. Select an example again to reset its numbers.
ESTIMATED TIME FREED UP EACH MONTH
133.3 hstaff time freed up per month
200 h today compared with 66.7 h with AI, including checks
Freed time does not automatically mean cash savings. Payroll may stay the same. The value comes from using those hours to handle orders, improve listings or help customers, or from avoiding a real future cost. Test the time saving before you invest.
Hours freed up = items per month × (minutes today − minutes with AI) ÷ 60. Time with AI includes checking its work, making corrections and handling cases it cannot complete.
Value after running costs = hours freed up × staff cost per hour − monthly running costs. A negative result means the running costs are greater than the estimated value of the time saved.
Months to match the project cost = one-off project cost ÷ positive monthly value after running costs. This assumes the same amount of work each month and the full time saving from month one. It does not include a slower start, financing or tax effects. It does not show when you will recover cash spent.
The audit assesses the opportunity and cost. The pilot measures time and errors on your data. Use that evidence to decide on implementation. Maximum items per month: 1,000,000 items.
BEFORE YOU BUY
What to expect on value, data access and checking AI results.
Let's talk about your businessEnter your monthly workload, staff time and costs in the calculator. The audit checks those assumptions; the paid pilot measures how long the task takes with AI, including staff checks and corrections. Freed time lets staff do other work, but does not automatically reduce payroll. A task done rarely, or needing many corrections, may cost more to automate than it saves.
You receive the test results, the problems found and a recommendation to stop, change the plan or test further. We do not start setting up the live tool automatically. Any more paid work needs your written agreement.
Your inbox, customer records, order system, online store or helpdesk, where the software allows a connection or file import. We check this with your IT contact before promising a connection, including any supplier charges or access restrictions.
The tool flags missing or conflicting details for a staff member to check. We agree which actions need approval, such as sending a customer reply or adding an order to your system.
Before work starts, we agree who can access your information and how it may be used. We use your company accounts where practical. The contract states which code and instructions you receive and who owns them.
